 Forms and Workflows

Forms and workflow allow for collection of data and automation of associated processes, like those one comes across in HR, IT and other process intensive departments.

Microsoft Office SharePoint Server (MOSS) provides the ability to create server-based electronic forms to streamline business processes and make data collection, distribution, and integration more cost-effective than paper-based forms. Microsoft Office InfoPath 2007 smart forms can be pre-populated, eliminating tedious data entry tasks and data entry errors. Built-in controls deliver easy-to-use forms with predictable behaviour and mouse-over tips. Data validation rules check for errors during data entry and prevent repetitive work later.

Employees can access electronic forms using Microsoft Office 2007, but the addition of InfoPath Forms Services in MOSS (e-CAL) means that any employee who has access to a browser or an HMTL-enabled mobile device can access forms. This technology is crucial for employees who are frequently on the road and need to send data back to the office, such as sales staff or customer service representatives.

By also leveraging the Window’s workflow foundation in SharePoint, highly flexible, secure and scalable form and workflow solutions can be implemented.

Business users can configure the forms and workflow, set alerts and reminders, and change various parameters as needed, in a centralised self service fashion, without having to depend on IT developers.

Connecting Office InfoPath 2007 forms data with back end systems provides businesses users with access to all related data. All forms can be stored in SharePoint so users can find forms easily and administrators can control form access and deployment. Business users can design and deploy forms, but administrators retain control over who is permitted to publish forms to the server.
