 Information Architecture

Your organisation will ultimately create and store many different types of content in SharePoint. For this reason, before migrating documents into SharePoint, information architecture should be defined and content types, metadata, version control, records management, archiving, and disposition all need consideration.

For example, consider how your organisation deals with a policy:

  • Is there a formal approval process for new policies or changes to policies?
  • Do you have a standard template and format for your policies?
  • Do you or would you like to capture the division or department that owns and is responsible for each policy?
  • Is there or should there be a formal review process in place to keep policies up to date?

The type of content you are going to store in SharePoint will ultimately affect the types of management and controls you place on your information. Myriad Technologies can assist you with categorising your content and defining the requirements for each piece of content.

By planning and implementing an effective information architecture strategy, our clients have seen benefits such as:

  • Richer search results for end users;
  • Logical site structure and document structure making it easy for users to find what they are looking for;
  • The ability to action specific business processes for specific types of content;
  • Centralised management and control of corporate templates;
  • The ability to group, filter, sort and view specific types of content in any way;
  • Standardised terminology across all SharePoint sites.
